Important Timings
Many vendors go away in January or just have a well-earned break
A lot of venues close for a few months over winter, so might be harder to contact
The main wedding season starts late April
Consider Italian public holidays might impact your communication with vendors:
Easter, 3-6 April
Festa dei Lavoratori, 1 May
Festa della Repubblica, 2 June
Ferragosto, 15 August
Don’t miss a single step in planning
The planning spreadsheet with everything you need to track your entire Italian wedding. Developed and used by experts. Every Italy-bride should have the tracker in their life.
“The Italian Wedding Tracker saved us countless hours in planning. It not only tracked our wedding, it guided us through the whole process and gave us tips and tricks along the way. Without using this tool we’d have probably spent more money, too.”

1. Expectations
Get these clear with your planner, and or your vendors. Know what you need to do, and what they need from you and when. When they want their full briefing - whether this will be for you to complete or whether they expect you to provide them with a document. Plan out your final calls with them and when all details will be relayed and agreed. This is incredibly important as this final briefing will be used by your vendors as their wedding day guide. EVERY LITTLE DETAIL needs to be confirmed.
2. Your Venue
Fully understand how your venue works. Timings, what food is when, when they expect their full briefing and how. Does your venue expect all guests names and passports? Ask all the questions now so you can include it on your wedding website or as part of your guest comms. Save yourself from the faff later!
3. Everything booked?
Now is the time to book your final vendors. Hopefully the majority are booked, but ensure everyone is locked in: florist, stationer, lighting, sound. Be aware, some contracts might not be signed until the styling direction is confirmed, which could affect final pricing changes.
4. Budget looking okay?
You should always be in control of your budget, but have a tidy up. You might even surprise yourselves and find you do have budget for an additional musician or perhaps a content creator?
By tracking everything to date, and logging what is confirmed you’ll easily be able to see the remaining budget to make decision making quicker.
Deposits paid
Outstanding payments required
Unbooked / unpaid vendors
5. Write your Wedding Guide
This is the document that outlines every single detail of your wedding (if you’re self-planning). If you have a planner, ask to proof a draft of this pre-xmas and check everything’s on track.
6. Your Moodboard
If you’ve not started the styling process, get that moodboard really clear. Keep it concise and focus on what you do like and the absolute must NOT’s. Knowing what you don’t like is nearly as helpful as what you love!
7. Your fashion
What you’re wearing on each day of your wedding celebration takes time and energy. Grooms tend to procrastinate this, so encourage cohesive planning. You might not be going for the ‘his & hers’ wedding look, but you want your outfits to compliment each other and the style of the wedding.
8. The Rings
Order the rings. Yes it can wait, but why?! You’ll be so busy in the final 4 months you need to get as much done now as you can.
9. The Glam
Book the beauty appointments. Same as above. Just get them locked in and ticked off your list. And don’t forget to book your dress alteration.
10. All the extras
What are the jobs which will be fun to do now, but such a drain when you’re in the proper countdown!
Set up a shared playlist for each part of your wedding.
When you think of something nice about your fiancé, write it in your speech notes.
Save down nice gift ideas for welcome gifts or family gifts you might be considering giving.
Start making notes on what your close-friends and family could do to help in the days or on the day of your wedding. People will offer and at the time this will be overwhelming to even think what they can do.
